JOB DESCRIPTION SUMMARY

Performs various tasks and activities to provide administrative, and clerical support to a department(s) and/or group of team members and managers.

Schedule: Monday - Friday, 20 hours a week, 4 hours a day, *Subject to change dependent on business needs

Job Requirements: 1 year of experience, strong organization and communitions skills required.

1. Ensures that the property facilities are in working condition, including office equipment, telephone and voice mail systems, fax machines, gates, internet, alarm system, temperature, A/C or heat, lighting, and other office systems, by contacting vendors, contractors, building management, and other service providers as needed.

2. Maintains current city permits (alarm, pool, spa, boiler, hazmat recycling) for propert(ies).

3. Greets and welcomes visitors, guests, and visiting team members to the office and provides for their comfort by offering refreshments, directing them to appropriate meeting rooms and offices, and answering questions about the facilities, transportation, or other business arrangements.

4. Maintains calendars for meetings, events, and other appointments, schedules appropriate meeting rooms/locations and time, and resolves scheduling and other conflicts as necessary to ensure effective use of time and resources.

5. Establishes and monitors the inventory of office supplies and equipment, orders supplies as needed and within the established budget and approval process, and acts as liaison between the Company and vendors for repair, lease renewal, equipment maintenance, or issues with supplies, invoices, and billing.

6. Answers incoming telephone calls, directs callers to appropriate team members or responds to caller questions and needs, takes and delivers complete messages in a timely fashion, and follows up as needed to achieve customer satisfaction.

7. Prepares documents, letters, presentations, and other communication materials for internal distribution, types and spell-checks documents, creates graphs and other displays, complies with document retention policies, and acts as liaison for questions related to communication.

8. Handles incoming and outgoing mail and deliveries, including maintaining the postage meters and shipping supplies, ensuring timely distribution of incoming mail, screening and sorting priority from non-priority items as directed, and preparing overnight and special mail delivery packages.

9. Receives, verifies, approves, and processes invoices, purchase orders, and other bills to be paid, tracks and maintains records of all transactions, purchases, orders, receipts, and statements, and ensures all vendors are in compliance and are approved

10. Ensures that the reception area, conference rooms, break rooms, and other common areas are clean and free of litter and trash, stocks the mini refrigerators with a variety of beverages, and straightens up furniture and accessories to maintain an attractive, clean, and appealing appearance.

11. Completes various human resources, financial, administrative, and other reports and analysis, and performs other duties as assigned or as necessary.

Organizational Responsibilities:

• Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).

• Practices proper safety techniques in accordance with Company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s).

• Identifies areas for improvement and offers suggestions to improve efficiency and productivity.

• Keeps abreast of current changes in technology, processes, and standards within the industry and area(s) of responsibility by attending internal and external training classes, research and/or subscribing to the internet or other professional publications, or utilizing other appropriate method(s) to obtain business and professional information, and applies knowledge and practices to area(s) of responsibility. Working Conditions:

• Incumbents work in an office environment, but also may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. Physical Demands: • Incumbents must be able to view computer screens and other electronic equipment, paper reports, and journals for extended periods of time where visual strain may result.

• Incumbents must be able to physically access all exterior and interior parts of the communit(ies) and amenities.

• Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently and fifty (50) pounds with assistance.

• Routine travel may be required to act as a courier, attend training sessions, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.

The hourly range for this position is $18.00 - $22.00 (San Diego, CA)

Additional Compensation:

Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

  • Corporate Positions: In addition to the base salary, this role may be eligible to participate in an annual bonus program based on individual and company performance.

  • Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
