JOB DESCRIPTION SUMMARY

This role will support the leasing team with the community’s marketing, leasing, and renewal strategies to achieve occupancy, revenue, and resident retention goals by preparing resident lease files and related lease and other requirement documents, entering lease data into the property management software, preparing lease signing and move-in packages, and performing other administrative tasks.

JOB DESCRIPTION

Role Responsibilities:

  • Coordinate with leasing professionals to prepare resident lease files, ensuring move-in dates, rent rates, and lease terms are accurate, and assemble all necessary documentation for audits.
  • Assist leasing professionals in scheduling lease signing meetings and move-ins by preparing move-in packages, confirming appointments with residents, and attending meetings to facilitate documentation completion.
  • Support leasing and marketing initiatives by creating brochures and community information for prospective residents, sending follow-up correspondence, preparing lease renewal packages, and providing administrative assistance as needed.
  • Enter and update lease-related data in property management software (Yardi/OneSite), ensuring timely input of resident information, move-in dates, lease terms, rental rates, and concessions, and generate reports for leasing and marketing support.
  • Enhance leasing efforts by welcoming prospective residents, completing Guest Cards, qualifying leads, showing apartments, and assisting with the rental application and credit screening process.
  • Respond promptly and courteously to resident and client concerns, resolving issues or escalating requests to the appropriate individuals as needed.
  • Complete various accounting, financial, administrative, and other reports, along with additional duties as assigned.
  • Adhere to established policies and procedures, monitoring compliance with regulatory requirements and organizational standards, and reporting any infractions.
  • Follow safety protocols by reporting any equipment malfunctions, injuries, or safety concerns to the designated personnel immediately.
  • Identify opportunities for improvement within the community and suggest enhancements aimed at increasing efficiency, profitability, and productivity.
  • Stay updated on industry advancements in technology, leasing, and sales tools by participating in training programs and utilizing available resources, applying new knowledge to responsibilities.
  • Maintain effective communication with team members and stakeholders to ensure collaboration and alignment in achieving organizational goals.

About You

Good level of general education and a valid driver’s license. Proficiency in using property management software. Training will, however, be provided. A knowledge and understanding of Australia Health and Safety policies preferably with some form of recognised training. Able to obtain a favourable National Criminal History Check and Working with Children Check.

We seek a candidate with excellent interpersonal and written communication skills, to manage legal documents, promote apartment features, and respond to inquiries effectively. Proficiency with online marketing and sales tools is essential. Strong organizational skills and attention to detail are necessary to produce error-free documents and maintain systematic processes. Familiarity with leasing procedures and resident documentation is preferred. Exceptional customer service skills are required to engage positively, handle pressure gracefully, and offer friendly, helpful assistance.
