Job Responsibilities

The Analyst, works in the Data & Analytics Team, primarily focusing Spain initially but with expectation to support other countries when required. The role supports the delivery of asset business plan targets and the execution of strategies for achieving operational excellence by generating and analysing reports on property management performance. Gathers and analyses market, client and portfolio data, providing management with data and input to identify opportunities for improving NOI/other aspects of commercial performance, and customer satisfaction. Performing other analytical tasks that support the operation of the business. This role will be expected to work closely with the Spanish Operational team on a day to day basis, with direction also being provided by the Spanish Senior Management Team.


JOB DESCRIPTION

Key Role Responsibilities:

  • Supports the Data & Analytics team by ensuring consistent and accurate KPIs and reports are developed for relevant stakeholders.
  • Supports the Spanish Operational Management Team with a variety of activities focusing on financial and data analysis.
  • Analyses the P&L and works on forecasting, supports annual budgeting process and hitting operational/financial targets. As well as reviewing financial information and key performance indicators to understand where improvements can be made.
  • Supports the delivery of the Data & Analytics team’s reporting requirements in line with internal routines (e.g weekly reporting) and external (investor, client etc) needs, including the delivery of the leasing reporting process; to track and analyse leasing and occupancy performance and trends and highlight opportunities for rental growth or corrective marketing activity.
  • Provides support and assistance to the property/regional managers, Operations Directors, Asset Management and Client Services teams, key business leaders and others by fielding questions and requests, gathering data and reports and assisting in resolving issues related to operational policies and performance.
  • Works with other functions (Digital/Performance, Asset Marketing and Brand/Insights) to track key performance indicators, provide regular and consistent reporting to the business and act as a conduit between the insights/analysis gathered by other departments and operational execution.
  • Assists in the gathering and analysis of financial, market, and other data to evaluate overall performance of the assigned portfolios versus budgets, targets and client expectations, preparing summaries, reports, recommendations and other interpretive reports to support business decisions.
  • Participates in project teams to implement process improvements, new applications and programs targeted to improve operational performance.
  • Supports an effective relationship between the Hub and the IT/Systems team, supporting the effective provision of data.
  • Supports requirements gathering for systems projects when required, as well as testing, and on-going (systems) optimisation.
  • Assists with the reporting of customer satisfaction metrics using business tools.
  • Assists with the tracking of competitor pricing and performance and collates market data for the business.
  • Assists in the maintenance of operational KPI databases used to gather and report on performance.
  • Supports annual rent and budget setting processes, new acquisition due diligence and such other reports, analyses and tasks as necessary.
  • Works with other Data & Analytics team members to identify opportunities for improvements in systems and tools used to understand, monitor and track performance.
  • Inputs into new acquisitions (due diligence and operational data for underwriting) and supports in new acquisition executions (opening of asset).
  • Provides support on service costs periodic reporting and annual price vs allowance analysis.
  • Provides support on FF&E and other service charge related administration.

Organisational Responsibilities:

  • Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organisational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).
  • Demonstrates appropriate safe behaviours in accordance with Company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s).
  • Identifies areas for improvement, offers suggestions to improve efficiency and productivity, and implements ideas that achieve operational excellence.
  • Keeps abreast of current changes in technology, processes, and standards within the industry and area(s) of responsibility by attending internal and external training classes.

Role Scope:

  • This role will report to the Senior Director, Data & Analytics however a considerably amount of work will be allocated by the Operations Director for Spain, with this being an informal day-to-day manager.
  • This role acts as the first point of contact for operational performance data/metrics and requests for data and analysis focusing on Iberian portfolio but with potential work across Europe.
  • The role will be a contributor to the weekly/monthly/quarterly operational reporting covering leasing, revenue, expenditure, customer satisfaction and other areas.
  • This role will require visits to properties or external meeting locations. And be prepared to travel occasionally within Europe.
  • The role will utilise our core business systems including property management systems, financial systems and office programs.

Key Relationships:

  • The role will interact with Operations Managers, Community Managers and other colleagues in Property Operations Management, Investment and Development, Asset Management, HR, Accounting and Finance, Facilities/Maintenance, Sales and Marketing as well as senior management.
  • This role will have some interface with external suppliers and investors.
