JOB DESCRIPTION SUMMARY

The Procurement Manager will take a proactive role in benefits identification – utilizing business and market knowledge to build a pipeline of procurement activity that will deliver commercial and service benefits to operational teams.

The Operations Procurement Manager will act as a business partner to onsite teams at more than 150 properties within the UK&I portfolio. The Operations Procurement Manager will own and deliver a set of agreed strategic / national sourcing initiatives and provide guidance / support tactical sourcing & contracting activity delivered by the operational teams.

The role will help to ensure the effective operation of existing properties and support procurement activity for new development openings and property acquisitions.

JOB DESCRIPTION

Key Responsibilities:

  • Engage local stakeholders – demonstrate the value of procurement, build internal relationships and ensure that procurement is involved in relevant sourcing activity
  • Ensure compliance with existing procurement policies and procedures – educate local stakeholders on how to use relevant systems and follow the correct procedures for supplier onboarding, creation of POs, P Card set-up etc.
  • Ensure the effective engagement of suppliers. Keep up to date with the local supply chain / market - identify and recommend new providers as required
  • Responsible for end-to-end procurement processes, including the creation of sourcing strategies, supplier identification, creation of high quality tender documents, commercial negotiations etc.
  • Assist with the definition of supplier requirements / expectations e.g. scopes of work, SLAs, performance management procedures etc. Ensure the effective delivery of goods / services
  • Via Luminance (Greystar’s new CLM platform) administer the contract lifecycle, including contract generation, negotiation, approval & storage
  • Support onboarding / due diligence for new suppliers
  • Compile contract summaries and relevant information to support the mobilization of new supplier agreements
  • Support SRM / supplier performance activity. Act as an escalation point for supplier issues and engage in the proactive management of strategic suppliers
  • Manage reporting requirements e.g. spend analysis, vendor performance / feedback
  • Accurately maintain spreadsheets, databases and records of information to ensure the smooth running of the department
  • Support the creation of new procurement policies, processes tools and templates. Ensure UK&I stakeholders are effectively engaged and aware of new procurement initiatives / governance procedures etc.
  • Support the creation and distribution of procurement communications and training materials
  • Effective engagement with the European procurement team. Lead / contribute to regional sourcing activity & other initiatives such as supply chain ESG as required
  • Perform other duties as assigned or as necessary for the effective performance of the role

Knowledge & Qualifications:

  • University degree (business or engineering)
  • Excellent written and numerical skills
  • Procurement experience (5 years minimum)
  • MCIPS (achieved or studying for) preferable but not essential
  • Fluent in English. A second European language would be beneficial but not essential
  • IT literate and proficient in Excel, PowerPoint, Word and Outlook (to at least Intermediate level). Experience of PowerBI would be beneficial but not essential

Experience & Skills: 

  • Experience of working in Real Estate / Facilities Management / Hospitality or related industry
  • 3+ years operating as a Procurement / Category Manager (or comparable role)
  • Sourcing experience across multiple operational categories - focus on Hard Services e.g. Repairs & Maintenance and Soft Services (cleaning, manned guarding etc)
  • Knowledge of the UK&I supply market - strong supplier relationships
  • European sourcing experience would be beneficial but not essential
  • Experience of negotiating contracts under English law
  • The ability to identify and mitigate supply chain risks
  • Experience of utilizing procurement technology / finance systems e.g. CLM platforms
  • Strong interpersonal and relationship building skills – the ability to work with and influence stakeholders at all levels of the organization
  • The ability to provide support within a busy, fast paced, environment. Excellent organisation skills – the ability to prioritise workload and show good judgment under pressure.
  • A positive team player – the ability to be flexible and adaptable to changing priorities
  • Working collaboratively – the ability to balance conflicting stakeholder requirements and support wider business objectives
  • Strong written and verbal communication skills. Proactive reporting on workload status and project updates, tailored to stakeholder preferences / needs
  • Strong presentation skills – building materials and confidently presenting to senior stakeholders
  • Excellent analytical skills. The ability to assess spend data and identify savings opportunities / spend leakage. Experience of engaging finance and other stakeholders to seek benefits approval
  • Results driven – able to create detailed plans that deliver projects in accordance with the agreed timelines  
  • Discretion and an ability to handle sensitive information.
  • A self-starter – able to work effectively both independently and as part of a team.
