Key Role Responsibilities
Provides proactive reception support and excellent customer service to all residents ensuring queries are handled in a timely manner.
Answers incoming calls and completes related tasks or logs with the relevant team member to resolve or handle as appropriate.
Completes administrative tasks including logging of maintenance requests, filing and preparing notices, posting payments and debt management activities and copying of documents.
Supports the Assistant Manager and Community Manager in co-ordinating the tenancy management process, which includes apartment inspections, evicting residents, and imposing and collecting late fees and other charges within the terms of the tenancy agreement.
Communicates and conducts scheduled residents’ apartment visits.
Assists with Community preparations and documentation around rentals and move-in and move-out processes.
Performs communication outreach activities to generate awareness of required activities, i.e. inspections, events, etc.
Supports the creation of a positive, memorable experience for residents by exceeding expectations;
Places orders for department consumables, raising POs and receiving work orders.
Preparation and distribution of various comms such as newsletters, surveys, etc.
Ad hoc tasks such as setting up for events, purchasing items for the site, etc.
Organizes and audits parcel rooms.
About You
Good level of general education with good written and numerical skills
Proficient in the use of Microsoft office packages including Word, Excel and Outlook as well as other systems such as databases or booking systems (Training to be provided on in house systems).
Experience & Skills
Excellent customer service skills and significant experience in a similar role
Strong team player
Excellent written and verbal communication skills
Demonstrable relationship building skills with the confidence to liaise with stakeholders at all levels
Ability to multitask and prioritize
Numerical skills necessary to complete the above activities.
