JOB DESCRIPTION SUMMARY

Responsible for supporting the administration of the USPM On-site Team Member Housing (TMH) program, ensuring efficient coordination of team member leasing activities and related housing processes. This role will assist with data accuracy, process flow, and ongoing improvements to enhance satisfaction among team members and clients. Key administrative functions include TMH lease files assistance, conducting audits, and compiling reports.

Additionally, this position serves as a central point of contact for inquiries from on-site teams, regional liaisons, and other departments, providing guidance and ensuring compliance with program procedures. The role may also involve implementing process enhancements, such as screening and income verification, to optimize program efficiency.

JOB DESCRIPTION

Essential Responsibilities:

  • Work with management team to define and expand new and current Team Member (TM) leasing processes. Look for ways to optimize the current programs/processes to improve operational efficiency.
  • Collaborates with the onsite teams to ensure the lease is moving through the leasing process, starting with inquiry to lease an apartment, through lease generation and preparing for appropriate payroll / tax implication and accounting reimbursements, and (eventually) TM lease renewals.
  • Ensure team-member housing data entered into on-site property management software (e.g., OneSite, Yardi, Entrata) is accurate. Responsible to track team members living on-site, their rent, discounts, lease dates and document who is responsible for the discount/housing expense. Analyzes information from reporting and intake data forms with RPMs to ensure proper documentation is maintained in property management software.
  • Serve as primary point of contact for regional and on-site teams by responding quickly and courteously to Regional Liaison or real estate or other functional team concerns and questions and take prompt action to solve problems and/or document and convey requests to the appropriate individual(s).
  • Contributes to and facilitates an optimized consumer experience in a virtual environment via phone, email, or other technologies.

Organizational Responsibilities:

  • Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).
  • Practices proper safety techniques in accordance with Company, community, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s).
  • Identifies areas for improvement and offers suggestions to improve the community’s efficiency, profitability, and productivity.
  • Keeps abreast of current changes in technology, leasing and sales tools, processes, and standards within the industry and area(s) of responsibility by attending internal and external training programs and by accessing other sources of information and applies knowledge and practices to area(s) of responsibility.

Working Conditions:

  • Incumbents work in a remote or hybrid environment.

Knowledge, Skills, Abilities:

  • 2 or more years of on-site operations experience required.
  • Knowledge and experience in multi-family property management.
  • Confidentiality & Discretion – treat sensitive data with strict confidentiality and a high degree of discretion.
  • Strong organization and planning skills to execute team member housing lease responsibilities.
  • Strong communication and customer service skills.
  • Demonstrated proficiency in Microsoft products such as Word, Excel, PowerPoint, SharePoint, and Teams), and spreadsheet management programs in order to complete required reports and employment documents.
  • Demonstrated proficiency in property management software (preferably Yardi, Real Page, Entrata and One Site).
  • Employment history that demonstrates the application of property management, accounting, and customer service background sufficient to assist in managing the day-to-day operation of a centralized process, resolve queries and issues, and complete financial records, documents, and reports.
  • High School diploma, GED or an employment history that demonstrates the application and sufficient to resolve regional queries and complete financial records, documents, and reports.

Additional Compensation:

Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

  • Corporate Positions: In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance.

  • Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
