Executive Assistant - Corporate Accounting

The Executive Assistant will provide high-level administrative support to the Sr. Managing Director of Corporate Accounting, Treasury, and Tax. The Executive Assistant provides executive support in a one-on-one working relationship and also serves as a liaison to senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. This role will lead support to both internal and external parties with a high level of professionalism in a manner that reflects positively on the organization. The ideal individual must be creative and enjoy working within an entrepreneurial environment and will have the ability to exercise good judgement in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Organize complex calendars and schedules; scheduling for meetings, events, and other appointments, schedules appropriate meeting rooms/locations and time, and resolves scheduling and other conflicts as necessary to ensure effective use of time and resources.           
  • Makes travel arrangements for managers, team members, external consultants, visitors, and other dignitaries who have business with the Company by purchasing airline tickets, arranging hotel accommodations, and ensuring that materials and transportation or other resources are available at destination locations.
  • Draft and prepare correspondence for internal announcements, executive meetings, and organizations the executive is involved with; complies with document retention policies and acts as liaison for questions related to communication.
  • Assist in preparing and managing presentations and decks.
  • Reviews and/or assists in preparing expense reports for certain managerial personnel by analyzing andevaluating information, reconciling receipts and supporting documentation, and coordinating with Accounts Payable as necessary to discuss issues, answer questions, or provide additional information as necessary.
  • May handle incoming andoutgoing mail, including maintaining the postage meters and shipping supplies, ensuring timely distribution of incoming mail, screening and sorting priority from non-priority items as directed,and preparing overnight and special mail delivery packages.
  • May act as first point of contact for visitors and callers to the department byanswering telephone, welcoming visitors, and addressing callerandvisitor needs.
  • Conserve the Executive’s time by reading, researching, collecting, and analyzing information as needed in advance.
  • Represent the company and Executive in a positive light through great follow-through skills and sound judgement.
  • Lead the organization of team and functional team member development, community involvement, and social/networking events.
  • Support the team in compiling quarterly and semi-annual reporting and uploading the documents to Greystar Portals. May also assist in sending out e-mail communications to investors and partners.
  • Complete ad hoc projects as assigned

Depending on the position offered, regular full-time and part-time team members may be eligible to participate in a bonus program in addition to their base salary.  Once eligible,  team members may participate in the 401k plan.  Regular, full-time team members are also offered a  range of medical, financial, and/or other benefits from which to choose.
